The Finland Australia Chamber of Commerce Inc has adopted this privacy policy to demonstrate its commitment to handling personal information about individuals responsibly and in compliance with international standards of privacy protection.

The Chamber complies with the National Privacy Principles ("NPPs") under the Australian Federal Privacy Act 1988.

What personal information we collect

We only collect personal information relevant to our relationship with you and necessary to perform our objectives. These objectives include

  1. creating awareness, promote and develop trade, commercial and cultural ties and
  2. establishing networking opportunities for members among the Finnish Australian business community and the Finnish community in Australia and expanded into the European business community in Australia.

'Personal Information' is defined in the Australian Federal Privacy Act 1988 to include any information or an opinion (including information or an opinion forming part of a database), whether true or not, and whether recorded in a material form or not, about an individual whose identity is apparent, or can be reasonably ascertained, from the information or opinion.

The type of personal information we collect includes but is not limited to an individual's name, address, position, e-mail address, telephone number, or credit card details.

How we collect personal information

We collect personal information in a number of ways, including:

  1. through our membership application forms
  2. as a result of requests for information or expressions of interest
  3. on the telephone or when meeting with you in relation to your membership or to assist you with any requests for information or advice
  4. through registration forms to attend Chamber events and other functions
  5. from marketing lists where you have consented to this information being provided to the Chamber
  6. from publicly available sources.

We only collect personal information by lawful and fair means and not in an unreasonably intrusive way. We do not collect any sensitive information, such as information relating to your political opinions, membership of a political association or trade association, unless this is necessary to respond to a request for information by you, to process your membership application and you specifically consent to providing this information at the time of collection.

In some circumstances if you choose not to provide personal information, we may not be able to respond to properly process or member application or respond to a request you have made.

We only collect personal information from you (and not a third party) unless it is not practical to do so. Even where we collect information from a third party, we will take reasonable steps to ensure that you are made aware of the information as required under the Privacy Act. For example, we may collect personal information in our membership application form about members' executives.

How we use your personal information

We do not use your personal information for any use without your consent. Information provided by you will be used to:

  1. respond to requests for information or reply to questions you ask us through the website
  2. contact you for additional information or to provide information to third parties where that is necessary to respond to your request
  3. consider and process your application for membership or to provide you with membership services (this may include the use of credit card details if you agree to pay for your membership by credit card, making name and contact available on our members register, making information provided in your membership form available to other members, contacting you for additional information when necessary, providing information to third parties when this is necessary to process your application)
  4. provide you with information about the Chamber, including events, functions and our services and other material which we think may be of use to you
  5. to enable us to organize events and functions which you have registered for or expressed an interest in (this may involve the use of your credit card details where you have agreed to pay for events using a credit card).

Who has access to your personal information

We will not use or disclose your personal information for any other purpose not described above (secondary purpose) without your consent.

In some circumstances, we may provide information to other companies or organizations for the purpose of assisting us to respond to your requests or in providing our services. If we consider the purpose of the disclosure is not within your reasonable expectation, we will obtain your consent before disclosing any of your personal information. We will ensure that these companies have proper privacy policies in place and agree to comply with the obligations set out in this privacy policy.

We will not otherwise share, sell or trade your personal information to any non Chamber organization without your express consent.

The are always risks with providing personal data, whether in person, by phone, or over the Internet. No system of technology is completely safe, tamper-proof or hacker-proof. We take industry standard steps to protect the personal information we hold from misuse and loss and from unauthorised access, modification and disclosure. We use up-to-date techniques and processes, consistent with current industry standards to keep your personal information secure and confidential.

We destroy or permanently de-identify personal information if it is no longer needed for any purpose which the information may be used or disclosed as set out in this privacy policy.

This service is free unless the information you request requires significant research or preparation time. Before we act upon requests of this nature, we will tell you how much this service will cost. We will respond to your request within 30 days.

What to do if you think we have made an error

We are committed to the protection of your privacy, and our policies, processes and systems have been developed with this intent. However, errors do occur sometimes. If you think we have not lived up to our commitment, we invite you to contact us.

Our objective is to respond to any complaint within 10 working days. Where we have not met our privacy commitments, we will apologize and take reasonable action to correct the practice or omission which led to the error. If we cannot resolve your concern to your satisfaction, you can refer the matter to the Privacy Commissioner on 1800 023 985.
